Position Summary

We are seeking an Operations Administrator to join our team. This role is a great opportunity to get started with an outstanding company. The Operations Admin is responsible for conducting daily operational and administrative tasks with precision and timeliness to ensure smooth execution of projects and internal processes. This role focuses on task-based execution under close guidance and supervision

The ideal candidate will have familiarity with Geomatics and experience with data acquisition practices using drone systems, general robotics, and advanced AI/ML imagery analytics. You will have a strong desire and drive to deliver quality results, on time, on budget.  This is an exciting opportunity to enter at the ground floor of a growing company and contribute directly to TraceAir’s growth and success.

What you will do

●     Perform data quality control checks to ensure accuracy and consistency in operational systems

●     Provide scheduling support and coordination with external consultants or internal teams

●     Support invoicing reconciliation by matching invoices to work performed and flagging discrepancies for resolution

●     Assist with drafting and organizing contracts, agreements, and other documents as directed

●     Provide general administrative support including scheduling meetings, managing correspondence, and preparing materials

●     Support contractor onboarding processes by collecting documentation and updating records

●     Perform other assigned administrative tasks to support operations team priorities

●        Track activities and maintain accurate records in applicable CRM and ERP systems.

●     Perform all other duties as assigned.

Job requirements

Who you are

●        Minimum one 1 years of relevant industry experience with a Bachelor’s degree in Business Administration, Engineering, or related field desired

●     Strong attention to detail and organizational skills

●     Basic proficiency in office software tools (Google Workspace, Slack, Zoom, Asana)

●     Ability to follow established procedures and complete repetitive tasks accurately

●     Excellent written and verbal communication skills.
